BUYER GUIDE / 20 OCTOBER 2026
Pivot door delivery.
Ready to receive.
Before dispatch, connect the approved entrance to the packages
and the people responsible for receiving them.
APPEARANCE REFERENCE / NOT A PACKING OR DELIVERY PHOTOGRAPHRECEIVING AN OVERSEAS PIVOT DOOR ORDER
The order.
The packages. The people.
A finished door and a prepared site are different parts of an overseas order. The receiving team needs to know which package belongs to which opening, what arrives assembled, where delivery ends and which instructions apply to the supplied components. Resolve those questions before booking the arrival.
For a villa project in the UAE or Saudi Arabia, make the site contact and freight forwarder part of the discussion. Begin with the specification checklist, then use this guide to prepare for receipt and handover.
This is general purchasing guidance, not a promise about AsvntDoor packing, shipping terms, installation services or delivery dates. Those details must be confirmed for the order. The image is an appearance reference.
01 / IDENTIFY THE ENTRANCE
One opening.
A traceable record.
Give each unit an ID.
Use a separate opening or unit ID when a project contains more than one door. Keep it beside the approved drawing revision, design reference, finish sample and component schedule. Ask the supplier how that ID will appear on the package list and labels.
Make the reference usable on site.
For example, a project might identify its main entrance and a second entrance separately even when their finishes match. That prevents the receiving team from relying on the colour of a wrapped panel to identify it. The labels should lead back to the approved record, not replace it.
Record what travels together.
Check whether the frame, door leaf, fixed panels, glass and loose hardware travel together or in different packages. Record any agreed item supplied locally. Resolve the product scope before making the receiving list.
Before dispatch.
Match the records.
Keep the order reference and drawing revision
beside the shipment information.
| Item | What to confirm |
|---|---|
| Approved drawing & component schedule | Reconcile opening IDs, drawing revision, finish and included parts. Confirm with: buyer, supplier and project installer. |
| Packing list | Reconcile package IDs, contents, counts and actual packed measurements. Confirm with: supplier and forwarder. |
| Invoice & agreed supply scope | Check the order reference, parties, goods and agreed delivery basis. Confirm with: buyer, supplier and customs representative. |
| Transport & arrival information | Match the shipment reference, receiving contact and agreed delivery point. Confirm with: the party arranging transport and the receiver. |
| Instructions & support details | Identify the actual component models, assembly information and service contact. Confirm with: supplier and installer. |
The International Trade Administration’s packing-list overview explains its role in identifying package contents, weights and measurements. This table is an independent review list, not a universal import-document requirement. Ask your forwarder or customs representative which documents and details the actual route and destination require.
03 / REVIEW THE ACTUAL SHIPMENT
A package photo.
Not a packing promise.
Request order-specific evidence.
Request the packed dimensions and weights for your shipment before the receiving team selects equipment. Ask for dated photographs of the identified packages and their visible labels. Clarify which parts are inside each package and whether any separate delivery is expected.
Plan from the supplied instructions.
Have the supplier identify the applicable handling, opening and storage instructions. Ask the receiving contractor to review them against site access, the available unloading area and the route to protected storage. Do not select a crew size or lifting method from a different supplier’s FAQ or an online video.
Confirm the packing materials.
If wood-based packing is proposed, ask what materials are actually used in the crate, supports and dunnage. Let the forwarder confirm any applicable destination requirements. A photograph of a wooden box is not proof of treatment, and this guide does not prescribe a particular treatment or certificate.
A clear delivery point.
A practical receiving plan.
| Item | What to confirm |
|---|---|
| Arrival coordination | Who receives notices and agrees access with the carrier? Retain: the named contact, destination and shipment reference. |
| Unloading & site movement | Who provides the agreed equipment and competent receiving team? Retain: responsibility confirmation and the applicable handling instructions. |
| Package receipt | Who matches package IDs, counts and visible condition? Retain: the receiving record and clear photographs. |
| Protected storage | Where will the goods be kept under the supplied instructions? Retain: the storage location and responsible person. |
| Installation handover | Who checks parts, approved drawings and instructions before work starts? Retain: the component check and unresolved-item list. |
The ICC’s Incoterms 2020 overview describes how the rules allocate costs, risks and obligations. Record the rule, version and named place actually agreed in your contract, then confirm the practical arrangements. This guide does not select a trade term or interpret your contract.
Do not assume that delivery to a city includes unloading at the villa, moving packages through a narrow entrance or installing the door. Name the person coordinating each stage and resolve access restrictions before the vehicle arrives. Compare the financial scope separately with the cost and quotation guide.
At receipt, document visible damage, label discrepancies or missing packages safely and follow the applicable carrier, contract and insurer procedures. Agree the reporting contacts and process in advance. Do not assume a note or photograph alone satisfies every claim condition or deadline.
05 / FROM RECEIPT TO INSTALLATION
Matched components.
The right instructions.
Reconcile the actual order.
Before installation, reconcile the received components with the actual approved order. Separate an identified shortage or damaged component from a question about site readiness. Send the opening ID, package reference, relevant drawing and clear photographs when asking for clarification.
Read the instructions for the supplied system.
As a manufacturer-specific example, Simpson’s pivot-system installation guide begins with reviewing the instructions and inspecting components. Its hardware and installation steps are not instructions for an AsvntDoor product. Obtain the instructions for the system actually supplied.
Keep the plan and floor section together.
Keep the approved plan and floor section with that pack. The opening guide and seals and threshold guide explain planning questions; neither replaces the selected manufacturer’s instructions or the project’s installation detail. Record who completes adjustment, checks operation and supplies the agreed maintenance and support information.
BUYER QUESTIONS
Before the journey.
Clearer answers.
What should I confirm before my pivot door shipment leaves?
Match the approved order and drawing revision to the package list. Confirm actual packed measurements, the receiving point, handling instructions, responsible contacts and the documents your forwarder requires. Resolve discrepancies before dispatch.
Does a packing list mean unloading and installation are included?
No. It identifies the packages and their contents. Delivery responsibilities and installation services must be established by the agreed supply scope and transport arrangements, not inferred from that list.
Can I use another pivot-door supplier’s unloading instructions?
Not as instructions for your shipment. Construction, packed size, weight, assembly and site access can differ. Obtain the applicable instructions and have the responsible contractor plan handling for the actual order.
What if the received packages do not match the order?
Record the package IDs, counts and visible condition safely. Notify the contacts identified in the agreed reporting process and provide the order reference and evidence. Follow the applicable contract, carrier and insurer requirements; this guide does not set a claim deadline or decide liability.
BRING THE DESTINATION INTO YOUR ENQUIRY
An entrance.
A destination. A plan.
Send your design reference, opening information, quantity, destination and intended receiving point. Identify who will arrange local installation and what still needs confirmation, so the product specification and delivery questions can be reviewed together.
